INTERNAL/EXTERNAL VACANCY ANNOUNCEMENT
The incumbent will undertake the following responsibilities under the direct supervision of the
Senior
Administrative/Finance Officer in Baghdad.
FUNCTIONAL STATEMENT.
Accountability
The Senior Administrative/IT Assistant reports and will work under the direct supervision of the IT
Associate and will be responsible for ensuring that adequate IT and Admin. Support is given to the
Office.
Responsibility
- Assist in processing of entitlements, i.e. telephone bills, monitoring attendance, etc., and
maintenance of various files.
- Search office files and records relating to a variety of topics for information and
reference. Selects information and
records in specified format or on the basis of general instructions for use by others in preparing
reports, correspondence,
technical papers, project or programme plans and general reference documents.
- Assist in administrative formalities related to travel arrangements and issuance/ renewal of
visas, licences, travel arrangements and other similar documents.
- Assist in facilitating admin. Procedures for official missions of UNHCR staff and other
persons of concern to UNHCR (PT8, travel request form, booking, etc).
- Assist the IT Associate in setting standards for applications that meets the needs of the
users and supports the overall
Information Technology.
- Assist in monitoring and maintaining the LAN, Network Servers, Printers, LAN points, Hubs,
Patch pane, etc. to prevent faults occurring.
- Ensure that information problem recovery is done as quickly as possible by making regular
system back-ups
- Assist with the installation of software packages, basic repair/maintenance of all computer
hardware in the office and
where required implementing partners.
- Assist the IT Associate in adding or removing users from the Network.
- Maintain the inventory of IT equipment
- Perform other duties as required
ESSENTIAL MINIMUM QUALIFICATIONS AND PROFESSIONAL EXPERIENCE REQUIRED
- Education: Completion of secondary school. Additional Training courses in Administration,
Finance and/or Information
Technology will be an asset.
- Job experience: relevant to the function: 5 years.
LANGUAGE:
- Fluency in English and Arabic (written/oral/comprehension).
DESIRABLE QUALIFICATIONS & COMPETENCIES
- Knowledge in UNHCR Admin and financial rules, procedures and processes and
- Technical knowledge of information technology
- Certificate in LAN operation
- Completion of UNHCR learning programmes or specific training relevant to functions of the
position.
- Communication skills.
