Appointment against this post is on a local basis. External candidates will be considered only when no suitable internal candidate from the duty station is identified. The candidate is responsible for any travel expenses incurred and visa or work permit issues in order to take-up the appointment. Staff members are subject to the authority of and assignment by the Secretary-General. All staff are expected to move periodically to new functions in their careers in accordance with established rules and procedures.

Responsibilities:
Background:

The United Nations Environment Programme (UNEP) is the United Nations system's designated entity for addressing environmental issues at the global and regional level. Its mandate is to coordinate the development of environmental policy consensus by keeping the global environment under review and bringing emerging issues to the attention of governments and the international community for action. The Regional Office for Africa (ROA) helps to implement UNEP's Regional programs in Africa by initiating, coordinating and catalyzing regional and sub-regional cooperation and action in response to environmental , challenges, opprotunities and emergencies. This position is in UNEP/ROA Under thesupervision of the Senior Administrative Assitant, the incumbent will be responsible for the following duties:

Monitor calendar/schedule changes and assist to communicate relevant information to appropriate staff inside and outside the immediate work unit.
Review Records, route and process mail and other documents, gather pertinent background material, track and monitor assignments for follow up, receive telephone calls and visitors, respond to routine inquiries and information requests and route to various personnel for handling, assemble documents, reports and other materials for dissemination using electronic formats and coordinate courier.
Perform basic data entry and extraction functions, perform a variety of administrative functions, including leave recording, organization of meetings reservations, office supply and equipment orders, prepare and process requests/documents for travel and other materials.
Assist with the reproduction of bulky documentation and other materials for meetings and deliver urgent mail and messages.
Perform any other relevant duties as assigned.

QUALIFICATIONS
Education:
Completion of Secondary School is required. Supplementary training in administration, office support or related area is desirable.     
Work Experience:
A minimum of 3 years of relevant experience. Experience in general office support or related area is desirable.
Languages:
English and French are the working languages of the United Nations Secretariat, For the post fluency in oral and written English is required. Knowledge of another UN official language is an added advantage.
