Program Assistant

Founded in 1933, the International Rescue Committee (IRC) is a global leader in providing emergency relief, rehabilitation, post conflict development, human rights protection, resettlement services and advocacy for refugees and others uprooted or affected by violent conflict and oppression. Health programs represent the largest single sector within which IRC currently operates, constituting approximately 45% of the international budget and with activities in 22 countries. Field-based health staff is supported by a headquarters Health Unit comprised of health professionals with many years of experience in humanitarian work. The Health Unit contributes to the effectiveness and comprehensiveness of IRC primary health care programs through technical support, staff development, and institutional learning. The Health Unit ensures quality programs by promoting self-reliance, participation, sustainability, equity, and human dignity. The Health Unit is committed to the development of the field of humanitarian assistance through advocacy, documentation of lessons learned and research.

SCOPE OF WORK: The Health Unit Assistant works in collaboration with another program assistant in support of the Health Unit functions and reports to the Senior Coordinator of Grants and Operations.

RESPONSIBILITIES:

Work collaboratively with colleagues to provide administrative support on travel requests, purchase orders, finance transactions, human resource forms and on-boarding new staffReview all Travel Expense Reports to ensure that they are completed correctly, are accurately coded, and are turned into finance in a timely manner.  Follow up with finance as necessary.Plan and schedule weekly Health Unit meetingsRespond to day-to-day communications in a timely manner, ensuring that relevant team members are informed and copied as necessary.Maintain and distribute a detailed calendar of team member travel and key events.Assist with the planning and running of the Annual Health Coordinators Conference, and various other conferences and meetings throughout the yearLead the maintenance of the Health Unit external and internal web-siteProvide assistance to Senior/Technical Advisors as neededAssist in creating and disseminating team newslettersHelp manage HU Director’s calendar and  emailOther duties as assigned by Senior Grants and Operations Coordinator and Health Unit Director

REQUIREMENTS:

Bachelor’s degreeMinimum of two years of work/internship experience preferably within a non-profit organization, providing administrative support in a fast-paced environmentSolid organizational skills; detail-oriented; ability to prioritize tasksAble to work collaboratively in a team, a flexible work attitude and a calm mannerProven writing and editing skills:  a quick and accurate reviewer and editorInterest in public health and experience in developing countries a plusStrong knowledge of Microsoft Excel, Word and PowerPoint preferredFluency in French preferred but not required
